Tearms & Conditions
1. About Us
All tours, safaris, Kilimanjaro climbs, and travel experiences provided by Mercy Africa Adventures are operated by Mercy Africa Adventures Limited — a company registered and incorporated in the United Republic of Tanzania and proudly based in Arusha, Tanzania’s safari capital.
2. Application of Terms and Conditions
These Terms and Conditions apply to all bookings made directly with Mercy Africa Adventures or through any of our authorized booking partners.
By booking a safari, Kilimanjaro climb, cultural tour, Zanzibar beach holiday, or any other travel experience with Mercy Africa Adventures — whether directly or through a partner — you confirm that you have read, understood, and agreed to be bound by these Terms and Conditions in their entirety. These terms outline the rights, responsibilities, and obligations of both Mercy Africa Adventures and our guests in connection with the booking and participation in any of our travel experiences in Tanzania
3. Our Commitments to You
Mercy Africa Adventures is committed to delivering extraordinary Tanzania travel experiences of the highest quality, safety, and integrity. We assure you that:
- We hold all necessary licenses and permits required to operate wildlife safaris, cultural tours, and Kilimanjaro climbs in Tanzania
- Our team possesses the professional expertise, field knowledge, and genuine passion to organize outstanding travel experiences across all of Tanzania’s destinations
- All our safari guides, Kilimanjaro guides, cultural liaisons, and travel consultants are professionally trained, certified, and experienced in their respective fields
- All information provided in our marketing, website content, and itinerary descriptions is accurate, honest, and not exaggerated
- We are a tour operator — not a travel agency — and we personally manage every aspect of your Tanzania experience, with the exception of international flights and pre-arranged hotel accommodation outside our itineraries
- Your travel experience with Mercy Africa Adventures contributes positively to Tanzania’s local communities — through above-average and fairly paid wages for all our staff, direct community benefit payments on all cultural visits, and our unwavering commitment to ethical porter treatment on all Kilimanjaro climbs
- We follow strict Leave No Trace principles and responsible wildlife viewing practices to promote sustainable tourism and protect Tanzania’s extraordinary natural heritage for future generations
4. Handling Your Personal Information
To arrange your Mercy Africa Adventures experience we require certain personal information including your full name, age, nationality, passport details, dietary preferences, and any relevant medical conditions. This information is collected solely for the purpose of organizing your travel experience and will be handled with complete confidentiality and respect.
Relevant portions of your personal information will be shared only with Tanzania wildlife authorities for park entry permits, accommodation providers for reservation purposes, and where required by Tanzanian law. Your personal information will never be shared with third parties for commercial purposes.
5. Communication Channels
To protect you from travel scams and fraudulent communications, please ensure that all communications with Mercy Africa Adventures are conducted exclusively through the following official channels:
- Email: info@mercyafricaadventures.com/
- Phone & WhatsApp: Numbers published on the official Mercy Africa Adventures website at www.mercyafricaadventures.com/
Mercy Africa Adventures has strict internal communication security policies and we have not experienced any cases of impersonation or fraudulent misrepresentation by third parties. If you receive any communication that you suspect may not be from Mercy Africa Adventures Travel, please contact us immediately at contact@mercyafricaadventures.com/ before taking any action or making any payment.
6. Booking and Payment
Booking Process: The booking process begins when you contact Mercy Africa Adventures via email, phone, or WhatsApp. A dedicated Mercy Africa Adventures consultant will handle all communications, itinerary planning, and pricing for your specific travel experience. Following agreement on all itinerary details and pricing, you will receive a formal invoice for the required deposit to confirm your booking.
Deposit: Your booking is officially confirmed upon receipt of your deposit payment. The deposit amount will be specified in your invoice and is required to secure all park permits, accommodation reservations, and other travel arrangements on your behalf.
Final Payment: Full and final payment is required a minimum of 60 days before your tour start date unless otherwise agreed in writing with Mercy Africa Adventures Travel. Timely final payment is essential as park fees, accommodation, and other tour-related expenses are typically prepaid in Tanzania and must be secured well in advance of your arrival.
Late Payment: Failure to make timely payments may result in the cancellation of your booking and the loss of your deposit in accordance with our cancellation policy below. Mercy Africa Adventures will make every reasonable effort to contact you regarding late payments before taking any cancellation action.
Transaction Charges: All banking transaction charges, wire transfer commissions, and international payment fees are the responsibility of the client and must be covered in addition to the invoice amount. A 3.5% surcharge applies to all payments made by credit card. Any remaining balance outstanding upon arrival in Tanzania must be settled before the commencement of your tour.
7. Participation of Minors
You must be 18 years of age or older to book a tour or travel experience directly with Mercy Africa Adventures Travel. Bookings on behalf of minors (guests under 18 years of age) may only be made by their parents, legal guardians, or legal custodians, who accept these Terms and Conditions on the minor’s behalf.
All minors must be accompanied and supervised by a responsible adult at all times throughout the tour. The accompanying adult accepts full responsibility for the minor’s behavior, safety, and wellbeing during the tour and for any damages caused by the minor.
All bookings involving minors are subject to prior approval by Mercy Africa Adventures Travel. The accompanying adult is responsible for securing all necessary travel documents, visas, parental consent letters, and any other permits required for the minor to enter Tanzania.
Please note that certain Mercy Africa Adventures experiences — including Kilimanjaro climbing, chimpanzee trekking, and walking safaris — have minimum age requirements. These are specified in the relevant itinerary descriptions on our website.
8. Pricing
All Mercy Africa Adventures prices are quoted in United States Dollars (USD) and are based on the rates, park fees, and exchange rates current at the time of your booking confirmation. Once your booking is confirmed and your deposit received, your agreed price will not change unless there is a government-imposed increase in Tanzania National Park fees, conservation fees, taxes, or other mandatory tourism-related costs beyond our control.
In the event of any government-imposed price increase affecting your tour Mercy Africa Adventures will notify you promptly, provide you with a copy of the relevant official public notice, and offer you the option to either agree to the revised pricing or cancel your tour with a full refund of all payments made.
9. Itinerary Changes
Client-Requested Changes: Changes to your confirmed itinerary that do not incur additional costs will be accommodated free of charge where possible. Any changes that result in additional costs — including accommodation upgrades, additional park days, activity additions, or revised transportation requirements — must be covered in full by the client. If you choose to voluntarily leave a tour in progress, or are required to leave due to behavior or medical reasons, no refund will be provided for unused services and you will be responsible for any additional costs incurred.
Mercy Africa Adventures Changes: Mercy Africa Adventures strives at all times to ensure that your tour proceeds exactly as planned and confirmed. However unforeseen circumstances — including extreme weather events, wildlife area closures, road conditions, or other factors beyond our control — may occasionally require changes to your itinerary. Mercy Africa Adventures will inform you promptly of any necessary changes and will work to find the best available alternative arrangements of equivalent or comparable value.
Third-Party Changes: Mercy Africa Adventures is not liable for delays, disruptions, additional costs, or losses caused by the actions of third parties — including airlines, accommodation providers, or government authorities — or by force majeure events. Any additional costs arising from third-party actions or force major events are the responsibility of the client or their travel insurance provider.
10. Travel Date Changes
If you need to change your confirmed travel dates after payments have been made you must notify Mercy Africa Adventures in writing at least 60 days before your original tour start date. Revised travel dates must fall within 12 months of the original confirmed travel dates.
Please note that Tanzania’s domestic airlines do not routinely reschedule purchased flights and accommodation providers may impose penalty charges or higher rates for date changes. All additional costs arising from date changes — including airline penalties and accommodation price differences — are the responsibility of the client.
11. Cancellations
Client Cancellations: Accommodation providers, park authorities, and airlines impose penalty fees for cancellations that Mercy Africa Adventures is required to pass on to clients. The following cancellation fees apply to all Mercy Africa Adventures bookings:
Cancellation Costs
| Cancellation Timeline | Cancellation Fee |
|---|---|
| Non-refundable deposit | $100 per person (always retained) |
| More than 90 days before start date | 10% of total tour cost |
| 60 to 89 days before start date | 30% of total tour cost |
| 30 to 59 days before start date | 60% of total tour cost |
| 15 to 29 days before start date | 80% of total tour cost |
| 0 to 14 days before start date | No refund |
Where penalty fees charged to Mercy Africa Adventures by accommodation providers, airlines, or park authorities exceed the percentages stated above, the non-refundable amount will increase accordingly. All banking commissions and transfer fees applicable to refund transactions will be deducted from any refund amount.
Date Deferral: If you choose to defer rather than cancel your tour, accommodation providers and airlines may offer penalty-free deferral at their own discretion. Mercy Africa Adventures will advocate on your behalf but cannot guarantee any deferral outcome. We strongly recommend comprehensive travel insurance to cover potential losses arising from unforeseen cancellation events.
Mercy Africa Adventures Cancellations: In the unlikely event that Mercy Africa Adventures cancels your tour — for any reason within our control — a 100% full refund of all payments made will be provided promptly.
12. Travel Documents and Visas
You are solely responsible for ensuring that all your travel documents are valid, complete, and in order for travel to Tanzania. Your passport must be valid for a minimum of six months beyond your arrival date in Tanzania and must contain at least two blank pages for visas and entry stamps.
A Tanzania entry visa is required for most nationalities and can be conveniently obtained in advance through the Tanzania online visa portal at evisa.immigration.go.tz. While Mercy Africa Adventures may provide general visa guidance as a courtesy, you must verify all visa requirements with the Tanzania Immigration Department or your nearest Tanzanian Embassy or High Commission.
Mercy Africa Adventures accepts no liability if you are denied entry to Tanzania or any transit country for any reason including invalid travel documents, visa issues, or immigration authority decisions. No refund will be provided and your tour cannot be rescheduled in the event that you are unable to enter Tanzania.
13. Accommodation
Mercy Africa Adventures works with a carefully selected range of accommodation partners across all Tanzania destinations — from basic public campsites to exclusive luxury lodges and tented camps. Accommodation options across our itineraries include:
Luxury Lodges & Tented Camps: Premium properties located inside or near Tanzania’s national parks offering high-end amenities, en-suite facilities, fine dining, and exceptional service.
Midrange Lodges & Tented Camps: Comfortable and well-appointed properties offering excellent service, good facilities, and prime wildlife viewing locations at accessible prices.
Budget Campsites: Basic and affordable camping options within or near Tanzania’s national parks offering a genuine bush experience with shared facilities.
Specialized Accommodation: Including mobile migration camps in the Serengeti, community-based lodges, and island camps in western Tanzania.
Accommodation within Tanzania’s national parks fills quickly during peak season — June to October and December to February. We strongly advise booking well in advance to secure your preferred accommodation tier and location
14. Fitness and Medical Information
You are responsible for determining whether you are physically and medically fit to participate in your chosen Mercy Africa Adventures experience. We strongly recommend consulting a qualified medical professional before booking if you have any pre-existing medical conditions, concerns about physical fitness, or questions about the physical demands of your chosen itinerary — particularly for Kilimanjaro climbing, chimpanzee trekking, or remote western circuit expeditions.
Mercy Africa Adventures may request medical information and require completion of a medical declaration form for certain activities. If you have a pre-existing medical condition that could affect your ability to safely participate in the tour, we may require a signed medical clearance certificate from a licensed medical practitioner. Failure to provide accurate and complete medical information may result in the cancellation of your booking with applicable cancellation fees.
Mercy Africa Adventures reserves the right to deny participation or remove a guest from a tour if their medical condition poses a risk to their own safety or the safety of other guests and staff. If your condition deteriorates during a tour we may need to arrange your early return, and you will be responsible for all associated costs. No refund will be provided for any unused portion of the tour in such circumstances.
15. Travel Insurance
Comprehensive travel insurance is mandatory for all Mercy Africa Adventures guests. Travel insurance must be in place before the commencement of your tour. Guests who cannot provide evidence of adequate travel insurance coverage may be denied participation in the tour without refund.
Travel insurance is not included in any Mercy Africa Adventures package and must be purchased independently by the client. Your travel insurance policy must provide adequate coverage for:
- Emergency medical expenses including hospitalization
- Emergency medical evacuation and repatriation
- Trip cancellation and curtailment
- Lost, stolen, or damaged baggage and personal belongings
- Personal liability
- Additional expenses arising from delays or unforeseen circumstances
For Kilimanjaro climbing packages specifically, your insurance must explicitly cover high-altitude trekking and emergency helicopter evacuation from altitude.
In the event of an insurance claim, the client is responsible for following all required procedures with their insurance provider. Mercy Africa Adventures will assist with documentation and supporting information as reasonably required.
16. Vaccinations and Health Advice
Mercy Africa Adventures provides general information about vaccinations, antimalarial medications, and health precautions recommended for travel to Tanzania as a courtesy service. This information is for general guidance only and does not constitute professional medical advice.
You must seek qualified medical advice from a licensed physician or travel health clinic to determine the specific vaccinations, medications, and health precautions required or recommended for your individual circumstances and your specific Tanzania itinerary.
17. Authority of Our Guides
The safety, wellbeing, and enjoyment of every guest is our highest priority. It is mandatory for all guests to follow the safety instructions, guidelines, and decisions of their Mercy Africa Adventures guide throughout the tour. The lead guide’s decisions on all matters relating to the safety and management of the expedition — including decisions to modify, suspend, or terminate activities due to safety concerns — are final and must be respected by all guests at all times.
18. Acceptance of Risk for Tanzania Adventure Travel
You acknowledge and understand that traveling with Mercy Africa Adventures may take you to remote and wild locations — including national parks, wilderness areas, mountain environments, and remote forest and lake destinations — where medical facilities may be limited or unavailable and response times in emergencies may be significantly longer than you are accustomed to.
You recognize that certain Mercy Africa Adventures activities — including wildlife game drives, walking safaris, Kilimanjaro and mountain climbing, chimpanzee trekking, and boat safaris — involve inherent risks that cannot be entirely eliminated. These risks may include wildlife encounters, extreme weather, difficult terrain, altitude-related illness, and other natural hazards.
By booking and participating in any Mercy Africa Adventures experience you confirm that you have carefully considered these inherent risks, that you voluntarily accept full personal responsibility for them, and that you release Mercy Africa Adventures and its staff from any claims, legal actions, or liability arising from losses, injuries, damages, or death related to the inherent risks of adventure travel in Tanzania.
19. Responsibility for Damaged or Destroyed Property
Any client who deliberately or negligently damages or destroys Mercy Africa Adventures property — including safari vehicles, camping equipment, guiding equipment, or any other assets — will be held fully liable for the cost of repair or replacement. All compensation for damaged or destroyed property must be settled in Tanzania before the client’s departure from the country.
20. Responsibility for Accommodation and Airline Services
Certain components of your Mercy Africa Adventures experience — particularly accommodation at lodges and camps and domestic flight services — are provided by carefully selected third-party partners. While Mercy Africa Adventures selects all partners with care and holds them to high standards, we cannot control the performance of third-party service providers and cannot accept responsibility for your experience with them.
Accommodation providers and airlines operate under their own terms and conditions which will apply to the relevant portions of your tour. Mercy Africa Adventures accepts no liability for issues, disruptions, or losses arising from the actions or omissions of accommodation providers, domestic airlines, or any other third-party service providers.
21. Personal Expenses
You are responsible for carrying sufficient funds to cover all personal expenses not included in your Mercy Africa Adventures package. These typically include souvenirs, tips and gratuities for guides and camp staff, personal meals and beverages not specified in the itinerary, alcoholic beverages, personal activity additions, and any other discretionary expenses. Mercy Africa Adventures accepts no responsibility if a guest is unable to meet their personal expenses during the tour.
22. Luggage and Valuables
Mercy Africa Adventures accepts no responsibility for luggage that is lost, damaged, delayed, or misdirected by airlines or other transportation services not directly managed by Mercy Africa Adventures Travel. Responsibility for locating and retrieving delayed or lost airline luggage rests with the client and the relevant airline. Any costs associated with delivering delayed luggage from Kilimanjaro International Airport or any other airport to your accommodation are the responsibility of the client.
You are personally responsible for the safekeeping of all valuables — including money, electronic devices, jewellery, travel documents, and other personal items — throughout your tour. Mercy Africa Adventures accepts no liability for items that are lost, stolen, or damaged during the tour.
Upon request, Mercy Africa Adventures staff can assist with securing valuables in a company safe under lock and monitored storage. Items entrusted to Mercy Africa Adventures for safekeeping will be our full responsibility until returned to you.
22. Luggage and Valuables
You acknowledge that Mercy Africa Adventures staff and other guests may capture photographs, videos, and other recordings during your tour that may include you and other members of your group. By participating in any Mercy Africa Adventures experience you grant Mercy Africa Adventures and its authorized partners permission to use such images and recordings for marketing, advertising, promotional, and editorial purposes without obligation of payment or further notice.
If you prefer not to have your image captured or used by Mercy Africa Adventures please notify your guide at the commencement of your tour and we will respect your wishes.
23. Photography and Marketing

24. Events Beyond Our Control
Mercy Africa Adventures accepts no liability for any failure to perform, delay, or disruption to any tour or travel service arising from events beyond our reasonable control — including but not limited to natural disasters, extreme weather events, earthquakes, volcanic eruptions, pandemic or epidemic events, acts of war or terrorism, civil unrest, government actions or restrictions, strikes or industrial action, mechanical breakdowns, power failures, or any other event that could not reasonably have been predicted or prevented. In such circumstances Mercy Africa Adventures will make every reasonable effort to assist affected guests but cannot be held liable for any resulting losses, costs, or disappointment.
25. Governing Law and Dispute Resolution
These Terms and Conditions are governed by and shall be construed in accordance with the laws of the United Republic of Tanzania. Any disputes arising from or in connection with these Terms and Conditions or any Mercy Africa Adventures booking shall first be addressed through good-faith negotiation between the parties.
